How Does a Gold IRA Work? Follow the Paperwork

How does a physical gold IRA work?

A physical gold IRA works through a custodian that holds the retirement account, a dealer that sells eligible metal, and a depository that stores it under the custody arrangement. Money enters the IRA before an authorized purchase; the metal goes into account storage. Receiving a kit starts none of those transactions.

Put the parties on one sheet

Before signing anything, write down the full legal name of the dealer, the IRA custodian and the proposed storage provider. Beside each, put the document that creates its responsibility. This gives you a usable process map: seller agreement, account agreement and custody or storage terms. A brochure's single company logo can hide how many separate relationships are involved.

Section 408 supplies the account and trustee requirements. The SEC's self-directed IRA warning explains why a legitimate custodian does not establish the quality of a purchase. The practical consequence is simple: obtain the custodian's documents directly, even if a seller helps with an introduction.

First, the receiving account has to exist

The custodian must accept the kind of account and funding being discussed. Ask which application establishes the IRA, what identity verification is required, and where documents should be submitted securely. Those requests belong to account opening, rather than the earlier request for general information.

Confirm the traditional or Roth designation before any money moves. Check the account title and receiving instructions against the custodian's own communication. Do not place account numbers or identity documents in an ordinary brochure-request form. If an email changes the payment destination, verify it through an independently obtained contact route before using it.

Next, identify how cash would arrive

An annual contribution, a transfer between IRA trustees and a plan rollover are different transactions. The IRS rollover guidance distinguishes a direct plan rollover from a distribution paid to you and redeposited within the permitted period. The source administrator must confirm that a distribution is available and eligible.

A direct rollover can use a check payable to the receiving account. Physical receipt of such a check does not automatically make it a payment payable to you personally. Confirm the exact payee language with the administrators. Our 401(k) paperwork guide goes into the deadline and withholding issues without treating a dealer's brochure as transaction instructions.

For wider background, the rollover explanation at The Rank Sheet offers another reading route. The Rank Sheet is our sister site; we may earn a commission if you sign up with a company through it. Your own administrators still need to supply the instructions that apply to the actual accounts.

A funded IRA is not yet a metal order

After funding, ask the custodian how you confirm available cash and authorize a purchase. Separately obtain the dealer's itemized order: exact product, quantity, fine-metal content, total price and the period for which the quote applies. A general instruction to buy gold leaves too much unresolved.

Have the custodian confirm acceptance of the proposed products. Then follow its documented authorization procedure. Ask when the order becomes binding, which party confirms it, and what happens if a product is unavailable. An unexplained substitution changes the purchase you reviewed and should be resolved before you approve it.

The CFTC and FINRA buyer bulletin urges buyers to obtain pricing and charges in writing before handing over money. A completed account application does not replace that price check. Nor should the availability of cash in an IRA be treated as a reason to accept a quote you do not understand.

Metal should move into the agreed custody arrangement

For a physical-metal IRA, shipment and safekeeping need to match the custodian's requirements. Ask who instructs shipment, who receives it, and which record confirms receipt. Do not redirect delivery to your home because you own the IRA. Personal possession creates a separate tax issue, discussed in our home-storage warning.

Storage descriptions need definitions. Ask how the proposed segregated or commingled arrangement records your holding, what the storage agreement says about withdrawals, and which charges apply. Do not infer that a product photograph identifies a particular bar held for your account. Obtain the applicable documentation for the actual arrangement.

The cost guide from our sister publication can help prepare storage questions. A fee table is useful only when it corresponds to the custodian, storage type and period proposed. Keep the issuing party and document date beside each amount you record.

Reconcile the records after purchase

Keep the dealer's confirmation, the custodian's transaction record and the storage confirmation together. Product names, quantities and account identification should agree. If the statement groups several products into a single line, ask how to obtain the underlying inventory details. A missing confirmation is an unfinished process step.

The SEC alert also warns that alternative assets can be difficult to value. Ask how statement values are established and whether they differ from a realizable sale price. A statement showing the amount originally paid cannot by itself tell you what a buyer would pay today. Price information and custody evidence serve different purposes.

Selling and withdrawing are two separate instructions

A sale exchanges the metal for cash inside the IRA under the account's procedures. Ask who requests a dealer bid, who authorizes the sale, what processing charges apply, and how proceeds are credited. A buyback policy may describe a process without obliging a dealer to purchase at any particular price.

A withdrawal takes value out of the retirement account, in cash or possibly in kind. Publication 590-B covers distribution rules, including required distributions and possible additional taxes. Confirm reporting and valuation with the custodian and a tax professional before requesting either form of withdrawal.

If researching a named dealer, the separate Goldco profile provides company context. For tracking the process itself, use our comparison worksheet to record the responsible parties and unresolved terms. The useful endpoint is a set of matching documents, rather than a verbal assurance that someone handles everything.

The practical next step

Keep funding, purchasing and custody as separate approvals. Match the purchase confirmation to the storage and account records before treating the process as complete.

Questions before you request

Does the dealer receive the rollover?

An eligible plan rollover goes to the receiving retirement account under its administrator’s instructions. Do not substitute a metal seller’s payment instructions for the receiving custodian’s details.

When does the metal get bought?

Funding and purchasing are separate stages. Ask the custodian how it receives and processes your purchase authorization and how available cash is confirmed.

Who confirms that storage received the order?

Ask the custodian which storage confirmation it obtains and how you can reconcile the product description and quantity with the dealer’s order.

Can a statement prove the resale price?

A stated asset value does not necessarily equal a dealer’s executable bid. Request a current quote and identify which charges would apply to a sale.

Can I take coins out as a withdrawal?

An in-kind withdrawal may be possible under the account’s procedures, but it is a distribution with tax and reporting questions. Confirm those before arranging shipment.
